The problem

Odoo Community is the free edition of Odoo. Out of the box it lacks things a UK business needs every day: bank statement formats, automatic matching of payments, a VAT return, subscriptions paid from a prepaid wallet. We needed them for our own systems, so we built them and tested them on Odoo 19 Community.

What we built

Each item below has been checked on our test databases.

  • UK setup. UK chart of accounts and VAT, import formats for HSBC, Wise and Revolut Business, and reconciliation rules for bank fees, interest, own-account transfers, wages and HMRC.
  • PayPal statement import. The gross amount and the PayPal fee on separate lines, with the balances checked.
  • Bank reference match. Reads the invoice number in the bank line and reconciles the payment; without a reference, it matches by payer name and exact amount.
  • UK VAT return. Boxes 1–9 from your posted entries, exported to Excel for MTD bridging software.
  • Subscriptions with a wallet. Customers prepay into a wallet; renewals are paid from it automatically, with renewal reminders and closing of unpaid subscriptions.
  • Helpdesk e-mails, retail and expenses. “Request received” and “request closed” e-mails, a FIFO stock and till setup for shops, and staff expenses posted to UK overhead accounts.

Technology

We build on free, open-source modules maintained by the Odoo Community Association, and add our own UK modules on top. Our changes are kept in separate modules, so they can be carried over to the next Odoo version. Every change is tested on a copy of the database before it reaches the live system.

For technical readers: Python and XML (Odoo 19 Community); OCA modules for bank statement import, reconciliation, subscriptions and helpdesk; our own modules; AGPL-3 for most of our modules, some under a commercial licence per client database.

What was hard

  • Statements upside down. Banks such as Revolut and HSBC list the newest movement first. Imported as they are, the opening balance came out wrong. A small module now reads the file in the right order, so the opening balance always matches the bank.
  • Paying renewals from a wallet. A renewal may be paid from the wallet only when the balance covers it, and a top-up may count only once it is actually paid. We tested both cases, with discounts and several billing periods, before calling it done.

Result and status

Built for Odoo 19 Community and tested on our test databases; ready to set up for a client. We add your bank’s statement format from a sample statement. Direct MTD filing is in development.
